Resetting Password


I've tried to reset my password but I've not received an email, why?

This could be because:

  1. The email has gone to your spam folder, check your spam.
  2. The email address you entered is not registered on the system. Follow our steps to Register.

Fundamentals of the platform


What is an organisation?

  • An organisation is a representation of a company 
  • We plan to create a concept within the platform where Organisations will create a mutual link between each other when required e.g. when contracted to do work for the other. This link will allow the organisations to share data and set permission levels that will be granted for each other. 

What is a user?

  • A user is a representation of a person
  • A user can belong to an organisation
  • Effectively it is a user account that allows a user to login to the platform 
  • Permissions can be granted against users to restrict access for different users 

What is the difference between an admin and regular user?

  • When an organisation is created, two groups are automatically created for the organisation: Admin user group & Regular user group. 
  • Any users added to the admin user group will automatically have all Create, Read, Update & Delete (CRUD) permissions for any Sites (and the Site's Assets) or Projects owned by the organisation.
  • Any users added to the regular user group will not automatically have these permissions, instead they must be given explicit CRUD permissions by the owning admin group for the Sites (and the Site's Assets) or Projects the group want to access.

What is a site?

  • A site is an area that contains one or more assets e.g. a windfarm site. 
  • A site is owned by an organisation, currently it can only be owned by one organisation.
  • A site must have a geo-referenced location (can be more than one geo-reference point).

What is an asset?

  • An asset is an industrial asset which can be surveyed e.g. a wind turbine or gas pipeline.
  • An asset must belong to a site and by proxy is therefore owned by an organisation.
  • An asset must have a geo-referenced location (can be more than one geo-reference point).
  • When a user is given access to an Asset (either explicitly or via admin rights), they are automatically given access to view the Site that the Asset belongs to.

What is a project?

  • A project is a piece of work undertaken over a specific timeframe to complete a given scope of work e.g. a project to assess an industrial site and it's assets.
  • A project must belong to an organisation, currently it can only be owned by one organisation. 
  • A project must relate to a Site, it can relate to multiple Sites.
  • A project can also relate to Assets, but doesn't have to relate to Assets.

Map Page


How are sites and assets displayed?

  • Sites are displayed as blue circles with the name of the site displayed over them.
  • A group of sites which overlap at the zoom level you are viewing them on the map will appear as a cluster (an orange circle) with a number indicating how many sites are contained within the cluster. 
  • Assets are displayed when you click on a site and appear as a blue and white location pin icon.

How do I find my site/ asset?

  • Click and drag to find your site on the map, clicking on the site will reveal the assets within that site.

  • Use the search bar in the top left corner of the map to find a site or asset

How do I zoom in and out of the map?

  • Use your mouse scroll wheel

How do I switch between satellite and terrain view?

  • To switch between views simply click on the view you would like in the top left corner of the map. Satellite (left hand box), Terrain (right hand box)

How do I check if my client's organisation already exists?

  1. Head to the admin panel: https://platform.vaarst.com/admin/
  2. Click on 'Organisations' 
  3. Find the organisation by:
    1. Looking through the list
    2. Searching for the organisation in the search bar
    3. Looking through the filter list on the right hand side

How do I check in my client already has a user account?

    1. Looking through the list

How do I create a new organisation?

  1. Head to the admin panel: https://platform.vaarst.com/admin/
  2. Click on '+Add' next to Organisations
  3. Add the organisation name
  4. Click 'Save'

How do I create a new user?

  1. Head to the admin panel: https://platform.vaarst.com/admin/
  2. Click on '+Add' next to Users
  3. Add a password
  4. Select which Groups the user should belong to (will likely be their own organisation's administrator group)
  5. Add a username for the user account, we suggest using the user's email address 
  6. Type in the user's first and last name
  7. Type in the user's emails 
  8. Click 'Save'

Data Page


What is the data page?

The data page displays projects, sites and assets and the data associated with them in an intuitive  


How do I get to the data page? 

  1. Find the Asset you want to see the data of
  2. Click on the Asset and the data page will slide out from the right

How can I find the data I am looking for?

  • Use the search bar to find the data if you know the name of it

And/ Or

  • Filter by file type if you are looking for a specific type of file

How do I upload data from my browser? 

  1. Click the 'Upload data' button
  2. Click on 'Files' or 'Folders' depending on what data type you'd like to upload
  3. Choose the Files or Folders to upload and click 'Open'
  4. A dialogue box will appear in the bottom right-hand corner of the screen showing the progress of your file

How do I upload data from Amazon S3?

  1. Click the 'Upload data' button
  2. Click on 'Files' or 'Folders' depending on what data type you'd like to upload
  3. Click on 'Generate Credentials' 
  4. Copy the Credentials into your preferred data transfer tool (e.g. Cyberduck)

How do I create a new folder?

  1. Click on 'New Folder' button
  2. Type your folder name in and hit 'Enter'

What data can I preview from the platform? 

Currently you are able to preview the following data types: 

  • CSV files
  • PDF files
  • Any type of video file
  • Any type of image file
  • 3D models

How do I preview my data?

  1. Find the file you would like to preview
  2. Click on the file, a preview of the file should appear 
  3. If the file is not supported, a message will appear allowing you to instead download the file

  • Open a preview of your file and click download

How do I delete data from the platform?

  1. Right-click on the file or folder you want to delete
  2. Click the 'Delete' button
  3. Confirm the deletion

or to delete multiple files and folders in one go

  1. Right-click on the file or folder you want to delete
  2. Click the 'Select and delete' button
  3. Click on the other folders and files you want to delete
  4. Click the 'Delete x files' button
  5. Confirm the deletion

Does deleting a folder, delete all the files within it? 

Deleting a folder will automatically delete all the files and any folders contained within it. 


I've deleted a file, how do I get it back?

Unfortunately once you delete a file this is deleted from the platform permanently and there is no way to restore it except to upload it again. 


3D Models


How can I view my 3D model from the platform?

  1. Navigate to a 3D pointcloud model that has been uploaded to the platform
  2. Click on the file
  3. The file will load in the 3D viewer, this may take a while depending on the size of the model

What 3D file types can I view from the platform?

  • We currently support .ply pointcloud file types. 
  • We are planning to support other file types in the future, please provide us feedback on which ones you would like to see by submitting a ticket via: support.vaarst.com  

What can I do with my 3D model? 

You can: 

  • Zoom in and out of the model by using your mouse scroll wheel
  • Rotate the model by clicking and dragging on the screen with your mouse
  • Pan and/ or tilt the model by right-clicking and dragging on the screen with your mouse

What does panning and tilting a model mean?

  • If you imagine your viewpoint as a camera in a fixed point, panning is where you move the camera horizontally; either left to right or right to left. You are not moving the position of the camera itself, just the direction it faces. 
  • Tilting is where you move the camera vertically, up to down or down to up, while its base is fixated to a certain point. Again, like panning, this is where the camera is stationary but you move the angle it points to.

What does rotating a model mean?

If you imagine your viewpoint as a camera in a fixed point that doesn't move at all, rotating is where the model is spun around and rotated in all directions whilst the camera does not move or change direction. 


Why does my 3D model not load properly? 

Depending on the specifications of your laptop/ hardware you are trying to view a 3D model with, you may not be able to load large 3D models.

Adding Sites & Assets


How do I add a new Site?

  1. Head to the admin panel: https://platform.vaarst.com/admin/
  2. Click on '+Add' next to Sites
  3. Input details of the Site
  4. Click 'Save'
